Social Service Administrative Assistant Charity Development Department

Job Description
  • Provide general administrative support for social services under the Charity Development Department
  • Assist in email correspondence and registration of new referrals
  • Create, update and maintain case profiles and data records
  • Handle finance-related matters such as procurement, processing of claims/expenses, etc.
  • Issue approval letters and relevant documents for care recipients
  • Ensure proper upkeep of documentation / filing system
  • Assist in the preparation of regularly scheduled reports

Project Management

  • working with colleagues/volunteer leaders in identifying problem or areas of improvement, problem study & analysis, formulating solution or proposal, implementing solution, reporting outcomes.
  • Example: improving volunteering experience in one of Tzu Chi charity programs, improving the effectiveness of community outreach)

Event Management

  • working with various departments and volunteers in coordinating event, including planning phase, preparation phase and the actual event.
  • Items to coordinate include program flow, audio-visual, publicity, logistics, manpower management and volunteer mobilization, transport and accommodation, budget monitoring, expense record and claim
  • Example of events: blood donation drives, talks, volunteer gatherings, major events with crowd size of 500 ~ 5,000)
  • Management of volunteer general meetings: preparing meeting agenda and meeting minutes
  • Other supportive/ administrative works of volunteer-related activities
Requirements
  • At least GCE A-level with good results (General Paper and Chinese grade B or above, pass in 3 H2 subjects), undergraduate degree preferred
  • Technical skills: Computational skills (Word, Excel, PowerPoint, Cloud system), proficient in Chinese and English language (reading, writing, speaking)
  • Soft skills/attributes: Team spirit, resourcefulness, event management, project management, self-learning ability, attention to details, passions, patience, tolerance of cultural differences.
  • Preferably with working experience (1 year or above)

Chinese Medicine Pharmacist TCM Service Department

  • Issue prepared prescriptions to patients in accordance with the correct operating procedures to ensure safe supply to patients in an efficient and accurate manner.
  • Ensure all dispensary equipment is kept clean and in good working order. All work surfaces are cleaned and tidied on a regular basis.
  • Maintain an accurate detailed record of all dispensing transactions.
  • Ensure the medicine are received and stored in an appropriate manner in accordance with the manufactures instructions.
  • Establishes schedules of dispenser volunteer duty roster.
  • Ensure that all medicines and appliances dispensed are checked against the prescription and whenever there is doubt about the appropriateness of the item, or about the dose or labelling instructions to check with the on duty physician.
  • Operate efficient stock control appropriate to the needs of the dispensary with the objective of ensuring continuity of supply for patients and minimizing wastage.
  • Liaises with buyer admin to places orders for stock replenishment and additional medicine as required by on duty physician.
  • Takes inventory of medicine on hand and records results
  • Undertake other ad hoc duties as assigned

Admin Assistant TCM Service Department

  • Assist with finance department in performing monthly, quarterly and yearly closing activities and annual audit asset inventory
  • Manage / liaising with finance department on the donated item from the donor, petty cash from time to time.
  • Upkeep of general procurement activities such as stationary, office facilities, equipment, pantry maintenance, company’s assets etc.
  • Provide facility management – including setting up of room for conferences, meetings, equipment usage.
  • Handle the general housekeeping matters.

Accounts Assistant Finance Department

  • Process all daily donations received and donations receivable from volunteers, walk-in, GIRO, and online donors to ensure all receipts are recorded and issued correctly within the required time frame
  • Process weekly deposit to the bank to ensure all collections are deposited promptly
  • Verify the donation details to ensure correct volunteers' ID are recorded, and donor information are checked to reduce duplicated items
  • Supervise a team of volunteer for:

(a) cash count to ensure that cash, including coins, are promptly counted and recorded

(b) data entries to ensure donation details are recorded correctly in Donation System

Requirements
  • At least G.C.E 'O' level or equivalent, preferably with at least 3 years' of relevant working experience
